Head of Fleet and Admin

Job Purpose

Support Pharmaceutical business Russia with the high quality, cost effective and applying best practices for facilities administration, fleet management, travel management and administrative services for employees in GSK.

Ensure GSK office is in line with global and market standards and supports positive image of the company, administrative services are provided with high quality and supports GSK employees to contribute to our mission and business targets.

Key Responsibilities

Overall responsibility for administration of facilities, admin services and fleet activities:

Facilities management

  • Management of lease/sublease contracts
  • Relationships management with landlords
  • Office layout management
  • Reception and office cleaning/maintenance
  • Mail room and mailing services maintenance
  • Supplies management
  • Access control management
  • Air condition systems together with EHS
  • Office moves/set-up project management if required
  • Ensure office rules are communicated to employees
  • Other offices/ legal entities – supervision of the office in St Petersburg; ViiV legal entity
  • Lead Go-green project (separate collection of waste, optimizing the use of paper resources)

Fleet management

  • Management of car fleet & leasing partners
  • Management of fleet partners/providers to ensure high quality of customer service level
  • Ensure Car fleet policy is up-to-date and communicated to employees
  • Monitoring and proactive fines management
  • Timely reporting and change management if required
  • Support Driver Safety Program

Admin services management 

  • Travel services providers management
  • Security and EHS projects support
  • Mobile service management - Ensure mobile and internet services provided as per business needs & Mobile policy is up-to-date and communicated to employees

Team management

  • Promote Ethics& Compliance behavior within the team
  • Role modeling of GSK Expectations, people & performance culture for the team
  • Drive engagement of the team according to GSK culture
  • Leading and participation in projects which needs Administration involvement

Skills/Background

  • Higher education
  • Knowledge of office administration
  • Problem solving and decision-making skills
  • Organization, planning & time management skills
  • Proven change management experience
  • Fluent English
  •  5 years’ experience within related areas (administration, services, fleet, change management)
  • At least 2 years’ experience as Office Manager in the Russian office of an international company (for external candidates)
  • Proven people management experience
  • Advanced PC skills
